How to add an employee

Create one employee record per person. The role determines whether they need a checkout PIN, Back Office email access, or both.

  1. Open Settings › Employees and choose Add employee.
  2. Enter Full name, Phone, and Start date when used.
  3. Choose the Role and one or more Branches.
  4. For Back Office access, enter Work email. For a role with POS access, set a unique Four-digit PIN.
  5. Attach required documents, then choose Add employee.
How to change access or a PIN

Update the existing employee record instead of creating a replacement account.

  1. Open Settings › Employees, open the employee, and choose Edit employee.
  2. Change Role, Branches, or Status.
  3. To replace a checkout PIN, enter New PIN. Leave it blank to keep the existing PIN.
  4. Choose Save changes.
How to remove checkout access

Suspend the employee so the record and audit history remain connected.

  1. Open Settings › Employees, open the employee, and choose Edit employee.
  2. Set Status to Suspended.
  3. Review the assigned Role and Branches.
  4. Choose Save changes.

How to create a role with refund access

Create a named role and enable only the actions the job requires.

  1. Open Settings › Access and choose Add role.
  2. Enter Role name.
  3. Enable Request refunds and other required permissions.
  4. Choose Save role, then assign it from the employee record.

Which login should an employee use?

Back Office uses email and password. Checkout uses the employee’s four-digit PIN on a paired POS browser.

  1. Ask an administrator to confirm the employee’s role, branch scope, and Work email in Settings › Employees.
  2. For Back Office, use the password invitation sent to that email, then sign in through Open Back Office.
  3. If a password is missing or forgotten, choose Forgot or need a password? on the sign-in page and follow the email-link instructions.
  4. For checkout, use the paired POS and the PIN assigned to that employee.
